# When registering for elective courses you will find that they are advertised under several codes. The codes end in 4-8. Choose the code with the ending that comes next in the order of your courses. When you take your first elective course take it as BTKD-NY-NPAN-4, then register for the second one under the code BTKD-NY-NPAN-5 and so on. S Items marked by S may be claimed several times. 2 Items marked by 2 may be taken twice at most. * Publishing three research papers is compulsory, but more than three published items can be awarded credits. See the requirements for the compulsory publications on the Programme Information page. Choose the category (1, 2 or 3) for your publications based on the number of credits awarded for them. The number of credits awarded for a publication depends on the quality and volume of the work involved as well as on the forum where it is published. While individual variation is possible, the following descriptions offer a guideline: Credits for research-based scientific (“tudományos”) publication The publications are to be
Credits allocated: 5 for a non-peer-reviewed publication; 10 for a peer-reviewed publication; 15 for a peer-reviewed publication in a Q1/Q2 journal, or in an edited volume published by an international publishing house that publishes Q1/Q2 journals, too (e.g., Routledge, John Benjamins, Cambridge University Press, Akadémiai Kiadó). In the case of peer-reviewed publications, proof of the peer-review procedure of the journal/volume is to be provided (e.g., reference to it on the journal website, in the editor’s preface, in the introductory chapter of the volume). The number of credits will be approved by the supervisor and the Director of Studies of the PhD program. Please check the process of claiming these credits below. Articles or studies published in predatory journals or volumes are not awarded credits. ## Please note that before entering credits for "elective" research activities, you first have to earn credits for the compulsory publications and conference papers. ** At least one conference presentation in English is compulsory. Please note that in order to have a valid semester, students on a scholarship must have a minimum of 20 credits.
Important notes:
- One specific code can only be used once in any one semester. This means that if two activities would fall under the same code, these have to be claimed in two different semesters. This requires some planning in advance. Please plan the distribution of your research and publication credits and consult with your supervisor about this.
- Activities like invigilating at an exam, entering data, collecting data, coding research results, etc. are often claimed as "other academic activity", "research" or "data compilation". In order to award these 5-credit units, approximately 15 academic hours (i.e., 12 hours) of work is expected. However, it is acceptable to add the hours spent on different activities together. Please keep a record of the hours you have spent on these tasks and note down the name of the person who was responsible for organizing the task, and when you have reached the required hours, go ahead and claim the credits.
- Poster presentations cannot be accepted as a compulsory conference presentation. Credits for a poster presentation can only be claimed after the compulsory presentation has been awarded credits.
Procedures for claiming the credits for research and teaching activities, publications and papers:
Credits for the courses taken are handled automatically in Neptun. Just like courses that you take in each semester have to be registered in Neptun at the beginning of the semester, you have to register your research and teaching activities, publications and papers, too. These are the steps to follow:
1., To decide how many credits these are worth, and which code to choose for them, please discuss and fill in the Credit Claims Form electronically with your supervisor at the beginning of the registration period at the beginning of the term. When the form is completed but latest a week before the end of the registration period, send it to the Director of Studies by email, who will get back to you and confirm the codes that you can register the activities under. Save the file as: CCregYOURSURNAMEyearterm.docx . E.g., CCregSMITH21A. Please, ask your supervisor to send a line to the DoS in order to confirm the proposed credit choices in the Credit Claims Form at the same time as you send it for approval before registration.
2., Before the end of the term, i.e., by 20 January and 20 June, send the form with the necessary proof of having completed the given tasks to the Director of Studies, who will award the credits and enter them into Neptun. Save the file as: CCaccYOURSURNAMEyearterm.docx . E.g., CCaccSMITH21A
Important note: Make sure to register only those research, publication and teaching units that you are definitely going to be able to claim credits for at the end of the term. It is always safest to register these units once you have already completed them. Remember that publications can only be awarded credits once they appear in the MTMT database (Magyar Tudományos Művek Tára / Hungarian Scientific Bibliography at: https://mtmt.hu/). Make sure to register yourself in this database. The main page is in Hungarian but if you click on ‘Regisztráció’ (Registration) or later on ‘Bejelentkezés’ (Log in) in the left pane, a window pops up, which can be changed to English in the bottom row. The Library of the School of English and American Studies will be of assistance to you if you need help with MTMT. Help is also available at: https://mtmt.hu/helpdesk.
It might be a good idea to keep a record of what you have achieved already. You might want to use this informal self-reference credit record sheet for this purpose. When you claim credits for publications, please send this along to the Director of Studies so that they can check that your three compulsory pubications meet the requirements.
